Cost-estimation methodology
Keep observed prices, modeled estimates and your own planning inputs separate. Each answers a different question and needs a clear scope, date and limitations.

Three kinds of cost information
An observed amount comes from a documented quote, invoice or other actual record. A modeled estimate applies declared assumptions to inputs. A homeowner budget records amounts chosen or supplied by the owner. Those categories should remain visible in headings, results and saved records so a reader does not mistake a model or a personal assumption for a local market observation.
The new worksheets use your own inputs. They do not supply default South Florida contractor rates. A known subtotal can be useful while information is missing, but the result must remain partial when an essential line is unknown.
How the new budget worksheets calculate
The pool worksheet multiplies planned purchases or visits by the amount per purchase, then adds the annual costs you supply for items outside that service amount. The whole-home worksheet sums annual inputs by the displayed category. Each shows a monthly equivalent by dividing the known annual subtotal by twelve. A reserve is the owner’s budgeting choice, not a forecast of failures.
The estimate worksheet adds a written base amount and known excluded extras. It leaves unpriced exclusions visible. The AC scenario worksheet adds the supplied upfront amount to the supplied annual operating and maintenance assumption multiplied by the selected scenario years. Its dollars are undiscounted and it does not predict equipment life or determine whether a repair is necessary.
Unknown is different from zero
A blank field is unknown. A zero means the user intentionally supplied no amount for that line, perhaps because it is included elsewhere. Do not replace missing quotes with zero to create a complete-looking result. Likewise, an unavailable traffic or cost dataset is not evidence that traffic or costs are zero.
Use consistent periods and scope. Avoid counting a bundled contract inclusion again as a separate expense. Keep a note when an annual input represents only a remaining part of the year or a special one-time purchase.
Existing estimators retain their own method
The established Tools & Estimators use their existing model engine and explanatory material. The resource center links to those tools without copying or changing their formulas. Read the specific tool’s assumptions and geographic limitations alongside its output. Its modeled result remains separate from a contractor’s written price.
What an observed-price resource would require
Before publishing a new local cost observation, record the date, service, geography, scope, quantities, inclusions, exclusions, tax treatment, whether the amount was quoted or paid, and an anonymous reference to permissioned evidence. Define inclusion rules and sample size. Separate multiple proposals for the same project from unrelated projects.
A small convenience sample may be useful if described honestly. It should not be called representative without a suitable sampling basis. The research workflow is private until actual permissioned records and a reviewed explanation support publication. Empty forms and planned data fields are not a cost study.
Use a result to ask a better question
Ask what missing scope could change the amount, which options are genuinely comparable and what must be confirmed before contracting. A model does not certify structural, engineering, safety or code compliance. Keep the quote and final invoice with the home record and preserve the assumptions attached to an earlier worksheet when comparing it with later spending.
